  • Solicitation Permit Guidelines & Application


    Solicitation request must be completed no less than 10 business days in advance of the requested date(s).

    1. For the purposes of this application, solicitation is defined as any organization’s attempt to gain funds, support membership, contributions, etc. from the university community.

    2. If the solicitation involves sponsorship of any off-campus business, the following stipulations apply:

    • A contract/letter of agreement, signed by an official of the off-campus business and a UNT Operations representative, detailing the terms of the sponsorship (date, financial terms, etc.).
    • UNT at Frisco must approve the application before reservations can be made.
    • The information requested on the solicitation permit must be complete.
    • During “Market Days” products may only be sold from a table provided by the University.
    • If organization has been approved to sell products, those products may only be sold from a table provided by the University.

    3. Solicitation Forms must be completed and approved by the appropriate University officials. For example, a membership drive, a request for donations for a legitimate charity, sale of products produced by the organization itself is considered solicitation. In some cases, this application will include the Assistant Director of Auxiliary Services approval.

    4. Organizations that have had their solicitation request rejected may appeal the decision with the Associate Vice President for Auxiliary Services. The appeal must be in writing and submitted within 72 business hours of receiving the disapproved request.

    5. Please note, obtaining a solicitation request form does not mean that the request has been approved. Only when the appropriate University Officials have signed and approved the activity, does the organization have the right to reserve a table.

  • UNT at Frisco Solicitation Guidelines

    Market Days Solicitation tabling events are held the first week of every month during normal business hours, during long semesters only, and are available on a first come first serve basis. These Market Days are held MON-TUE-WED-THR only.

    Events are scheduled in 4-hour increments, once per week. Load in begins as early as 8:00 a.m. and vendors must be packed up no later than 6:00 p.m.

    All requests must be made by filling out the below application no less than 10 days in advance of requested dates.

  • Reservations & Fees

    a) All reservations must be arranged by submitting this form to UNT Frisco Operations (see below).

    b) Solicitation Event fees: *Includes Tax - Indoors Only.

    • Table (6-ft x 2-ft): $45/4 hours
    • Registered non-profit organization $20/4 hours *Documentation required
    • Every vehicles will need to purchase a parking permit through the UNT Parking portal (https://transportation.unt.edu/unt-frisco.html)

    c) Reservations remain tentative pending receipt of rental fee and signed approval. A payment in the amount of the full rental fee is required to confirm a reservation no later than ten (10) business days before the event date. Clients may pay rental fee using cash or check. Vendor rental fees are Non-Refundable.

  • Day of event

    1. All reservations will take place indoors in the west Frisco Landing lobby near the café or designated lounge areas unless otherwise indicated by UNT at Frisco scheduling representative.
    2. UNT at Frisco allows a maximum of two chairs per table in accordance with the University’s solicitation policy, which will be supplied. Persons staffing the table are to remain behind it. All materials belonging to the persons staffing the table must be placed on or under the table.
    3. Vendors are not permitted to approach people or walk throughout the building distributing materials. Failure to adhere to guidelines may result in being blocked from future scheduling of tables. Please remain at your table and wait for interested parties to come to you. Do not follow or "go after," yell, or call out to passers-by or block the flow of traffic around your table to other areas of interest in the general vicinity.
    4. A solicitation permit must be present at the table at all times, which will be issued at time of check in.
    5. Vendor is responsible for any damage or theft of UNT property occurring during the reservation and costs may be assessed.
    6. Any signs or banners used at the table may be hung from the front of the table. Additional floor displays must be pre-approved. Please enter details on your application below.
    7. All materials in a foreign language must be translated into English, submitted to UNT at Frisco operations a minimum of five (5) business days in advance.
  • Food & Drinks

    1. Free dispensing of food and beverages (prepared or prepackaged) is prohibited without prior approval of UNT at Frisco. Vendors must comply with the following:
    2. No Food or Drink can be sold without permission and first right of refusal given to the university. The following refers to items being given away:
    • Drinks: ONLY Coca-Cola products can be given away for free. (e.g., DASANI water, Sprite, etc.)
    • Food: All food items must be pre-approved by UNT Risk Management. Texas Food Establishment Rules do not allow serving food from unapproved sources (private kitchens); therefore, all food must be pre-packaged items purchased from a grocery store, etc. or catered from UNT Dining Services or a restaurant. If food is catered from a restaurant, a copy of their current health permit must be on file with Risk Management.   • Sales

    a) University policy provides that no item can be sold that is offered for sale by any University agency or contractual agency, unless approval is given by that agency. All products and services offered by vendor must be pre-approved by a UNT at Frisco representative.

    If items are sold (memberships, services, etc), credit card payments cannot be processed through the University Wi-Fi for any product sales. Vendor must provide their own connectivity for processing payments.
    The University does not guarantee any sales expectation on behalf of the client.

    b) Vendors are required by the State of Texas to collect sales tax on the items, and to report the tax collected to the State of Texas. If you are engaged in business in Texas and sell tangible personal property, you are required to hold a Texas sale and use permit. Tangible personal property is defined as “personal property that can be seen, weighed, measured, felt, or touched that is perceptible to the senses. You are considered engaged in business if any of the following are met:
    maintains, occupies, or uses an office, place of distribution, sales or sample room, warehouse or storage place, or other place of business;
    has any representative, agent, salesperson, canvasser, or solicitor who operates in this state under the authority of the seller to sell, deliver, or take orders for any taxable items;
    promotes a flea market, trade day, or other event that involves sales of taxable items;
    uses independent salespersons in direct sales of taxable items;
    derives receipts from a rental or lease of tangible property that is located in this state;
    Allows a franchisee to operate under its trade name if the franchisee or licensee is required to collect Texas sales or use tax; or
    conducts business in this state through employees, agents, or independent contractors.
